What the research says
Harvard Business Review audited 2,241 companies on how fast they answered a web enquiry. The average first response took 42 hours, and 24% never replied at all. Firms that replied within an hour were about seven times likelier to have a meaningful conversation with a decision maker than those that waited even an hour longer.
Nothing in that study is specific to software buyers. A plant buyer with a requirement behaves the same way, they ask three suppliers and work with whoever engages first.
Where the hours actually go
The delay is almost never laziness. It is routing.
- The enquiry arrives in a personal inbox or a personal phone.
- The person who received it is on site and cannot act.
- Nobody else can see it, so nobody else can act either.
- It is remembered in the evening, by which point it is tomorrow.
The four rules that fix it
None of these need new headcount. They need the enquiry to stop being private property.
- One inbox for every channel, website, WhatsApp, phone, exhibition.
- An owner assigned the same day, by name, visible to their manager.
- A next contact date that is mandatory before the record can be saved.
- An overdue list that appears first thing on every officer's day.
Measure two numbers, not ten
Median time to first response, and the percentage of enquiries with no next contact date. Read them weekly with the Sales Head. Everything else about pipeline hygiene follows from those two.
When the median drops below an hour, you will notice competitors quoting against you less often, because the buyer stopped shopping.
